Information for Somerset ASA Age Groups & Championships 2019

Post Publication Notice: Please see this 5 Jan 2019 announcement of entries re-opening for 1 week for three events (see below) whose place in the Programme has moved.

Please read the following carefully:

Kelly Podbury, Competition Secretary, is pleased to be able to confirm that all entries for our 2019 County Championships have been accepted. However in order to do this she has had to move 3 events to even out the sessions. 

The following events have been moved:
  • Boys 200m IM has moved from session 3 Sunday 27 January AM to session 2 Saturday 26 January PM.  The heats will be swum before the relays, there will then be a 45 minute break whereby the relay teams can warm up. We will then proceed into the relays and the final events will directly follow the relays.
  • Boys 200m Breaststroke has moved from session 7 Sunday 3 February AM to session 6 Saturday 2 February PM.
  • Girls 200m Breaststroke has moved from session 10 Saturday 9 February PM to session 6 Saturday 2 February PM.
  • The same routine will be adopted on session 6 as detailed above for session 3.

In light of these changes, Kelly understands that some swimmers may need to / want to withdraw. If this is the case, a full refund will be given. Club Meet Contacts have been asked to check with their swimmers as soon as possible and let Kelly know before Friday 11 January if any wish to withdraw. (See Post Publication announcement above)

As if things weren’t complicated enough, the following events have 8 or less swimmers in an age group and therefore these age groups have been moved to straight finals:
  • Event 38 – Boys 100m Fly 10/11 age group
  • Event 44 – Boys 200m Fly 10/11, 12, 13 & 15 age groups
  • Event 47 – Girls 200m Fly all age groups
  • Event 51 – Girls 100m Fly 10/11 & 12 age groups

Club Meet Contacts have been asked to check these entries carefully, especially the Relays, and advise Kelly of any concerns.

Relay swimmers and swimming order can be changed nearer to the event, so long as all the swimmers Clubs are potentially going to swim have now been entered. Your Club will not be able to add additional swimmers from this point onwards.

Parents are asked not to contact Kelly Podbury directly with regards to entry times. Club Meet Contacts will deal with any queries within the Club. Any enquiries that come to Kelly directly will be forwarded to the relevant Clubs.

Now that all entries are confirmed there will no refunds for withdrawals. Swimmers will be scratched if they do not wish to swim an event, but no refund will be given.

Club Meet Contacts have been asked to advise Kelly by email of any scratches no later than the Thursday lunch time before the scheduled event.

Coach packs and passes will be available for all Coaches / Team Managers to collect from the Front of House on the first day of competition. Heat sheets for all 50m, 100m, 200m Prelim rounds and 400m + finals are to be printed from the email sent prior to the weekend or downloaded from the Somerset ASA website.  All details will also be available on Meet Mobile. Heat sheets for 50m, 100m & 200m Finals ONLY will be available to coaches and can be collected from the Front of House during the warm up session.

It is the Club’s responsibility to ensure that only DBS cleared personnel are given access to the swimmers’ balcony and are permitted to wear a pass to gain access.

ALL PASSES MUST BE RETURNED TO THE FRONT OF HOUSE OR RECORDERS DESK ON THE LAST DAY OF YOUR COMPETITION. There are passes missing. Please can Clubs ask any personnel who may have had a pass from previous events to bring them along for them to be reissued.

No late entries, including relays, will be accepted so to avoid any disappoint, don’t ask! 


Club payment should be made by BACS. However if payment by cash or cheque is the only option, these funds must be paid directly into the Somerset County ASA bank account below.  Cheques payable to ‘Somerset A.S.A.’

Coach information

Kelly will publish the warm up protocols and timings w/c 7 Jan 2019.


As always, we require a good number of volunteers to support the safe running of the County Championships.  

Kelly will be allocating roles to Clubs as she did during the Development Meet. Clubs have been asked to canvass their volunteers to help during these sessions. Kelly doesn’t need to know who is covering them for your Club, Kelly just needs to have the confidence that they will be covered.  Kelly will send out the allocations w/c 7 Jan 2019.

Official Printed Programme

There will not be an official printed programme. The heat sheets will be available on Meet Mobile and downloadable from the Somerset ASA website from the Friday before each weekend. This will be as accurate as possible, Clubs are asked to encourage parents to use either Meet Mobile or printed versions from the website as there will be no printed versions available on the day.

Hats & Hoodies

SRS Leisure will be again be selling Championship branded hats and hoodies. Printed on the back of the hoodies will be all names of swimmers competing. We hope you like the new design for this year.

Meet Managers for the event

Kelly will be supported again this year by Neil Chambers (Wells SC) and Paul Chambers (Clevedon ASC). If anyone else would like to offer their help on sessions, either to shadow personnel to gain experience or if already experienced in running events, Kelly would be very happy to hear from you.  The more people we can get involved in the running and organising of your events will only strengthen the skills and knowledge in the County.
