Somerset ASA Championships 2018 - Entry confirmation

Thank you to those Clubs entering swimmers into our 2018 Somerset County Championships.

Relay swimmers and swimming order can be changed nearer to the event, so long as all the swimmers Clubs are potentially going to swim have now been entered. Clubs will not be able to add additional swimmers from this point.

Clubs must deal with any queries internally and NOT ask parents to contact Kelly directly with regards to entry times etc. Any enquiries that come to Kelly directly will be forwarded to the relevant clubs.

Now that all entries are confirmed there will no refunds for withdrawals.  Swimmers will be scratched if they do not wish to swim an event, but no refund will be given. 

Club contacts must advise Kelly Podbury by email of any scratches no later than the Thursday lunch time before the scheduled event. 

Coach packs and passes will be available for all Coaches / Team Managers to collect from the Recorders' desk on the first day of competition and heat sheets will be available at the beginning of each session. 

It is the Club’s responsibility to ensure that only DBS cleared personnel are given access to the swimmers’ balcony and are permitted to wear a pass to gain access.  Coaches / Team Managers - please remember to submit your Pass allocation form no later than 18 January 2018, if you have not already done so.  

ALL PASSES MUST BE RETURNED TO KELLY PODBURY ON THE LAST DAY OF YOUR CLUB'S COMPETITION. There are still passes missing and Clubs have been asked to check with any personnel who may have had a pass from previous events to bring them along for them to be validated and reissued.

No late entries, including relays will be accepted so to avoid any disappoint, please do not ask!

Payment should be made by BACS, however if payment by cash or cheque is the only option, these funds must be paid directly into the Somerset County ASA bank account.

urgent appealOfficials

Clubs have been asked to request their officials confirm their availability to Graham Cockill (grahamcockill@btinternet.com) as soon as possible. Please publicise our appeal for more officials to volunteer.

Warm up protocols and timings will be published next week.

Volunteers

As always, we require a good number of volunteers to support the safe running of the County Championships.  Kelly will be allocating roles to clubs as she did during the Development Meet. Club contacts have been asked to canvass volunteers to help during these sessions, Kelly doesn’t need to know who is covering them for your Club, just have confidence that they will be covered.  View the allocation of roles and an overview of what is involved which has been emailed to Club contacts on 6 Jan 2018.

Official Printed Programme

There will not be an official printed programme for these Championships as in previous years.  At the Development Meet the heat sheets were made available on Meet Mobile and Kelly intends to do that again. We will also publish the most up to date Heat Sheet on the website on the Friday before each weekend. This will be as accurate as Kelly can get it. Please can Clubs encourage parents to use either Meet Mobile or the copy on the website as there will be no printed versions available on the day. 

3G/4G access at Millfield is considerably improved so access to Meet Mobile shouldn't be an issue.

We will let Club contacts know if one is available so they can advise swimmers and parents.

Hats & Hoodies

SRS Leisure will be again be selling Championship branded hats & hoodies. The hoodies will have all names of swimmers competing printed on the back and we hope you like the new design for this year.

Parent / Guardian Workshop – Sunday 28 January 2018

Fiona Bowen will shortly be notifying Clubs by email of a workshop for parents and Clubs are asked to forward it onto all those parents for whom it will be important.

Post Publication Note: Meet Manager(s) Cover

Due to family circumstances Kelly Podbury will not be attending both days each weekend. Thank you to those volunteers who responded to Fiona Bowen offering to support Kelly on the days she cannot attend. 

All the organising will already have been done - the meet manager for the day will
  • need to be on hand for any issues, questions etc.
  • check that the volunteers are in place,
  • finalise the programmes for the day,
  • organise the printing of the start sheets for the Coaches and Officials and
  • collect the entrance door fees from the volunteers and keep it safe.
